The SearchStax Site Search solution has some limitations to ensure stability and performance for all users and client applications.

The types of limits include:

• Subscription Level: Limits which apply to the overall Subscription Plan.
• App Level: Limits which apply to one Search App.
• Other Technical: Technical limits per feature

Subscription Level Limits

Your subscription plan includes limits on each of the following: monthly search requests, max number of items indexed, number of apps, and analytics history retention timeline.  Refer to your subscription agreement for details.

SearchStax attempts to proactively notify clients who are approaching their requests-per-month limit. Sometimes we cannot get a response before the limit is reached. At that point, the system temporarily suspends query service, returning HTTP 429 “Limit Exceeded” errors or HTTP 500 “internal service” errors. Contact the SearchStax Support Desk for help.

* The Site Search “Max Search Requests per Month” is incremented by calls to the /select or /emselect endpoints.

Site Search > Administration > Billing and Payments > Subscription

To view information about your SearchStax Site Search solution subscription, pull down the Accounts menu in the upper-right corner of the screen. Select the Billing and Payments option.

This opens the Billing and Payments screen, which summarizes the usage of your apps on your SearchStax Site Search account, shows you potential upgrades for your subscription, and the status of your current subscription.

Self-service users can select which app subscription they want to view. Enterprise users can view all of the apps covered by their contract.

Usage:

• Apps: Displays the number of apps in an account. (For Enterprise accounts only.)
• Monthly Requests: Displays the number of requests called to the Search Endpoint for an app out of its max for the plan.
• Items: Displays the number of Items in an app out of its max for the plan.
• Analytics Retention: Displays the amount of time an app’s analytics are retained.

Subscription:

Users can view their current subscriptions on the account. Note the Cancel Subscription link at the right side of the table.

Plans:

For Free Trial and Self-Service plans, you can see what plans are available. There are also paths to upgrading your current subscription term to a longer one and upgrading your plan from one to another with more capacity. Clicking Contact Us for upgrading to Enterprise opens a support ticket.

The Available Terms selection list lets you dial-in available discounts to view the resulting prices.

Site Search > Account Menu > Billing and Payments > Billing Information

To view your SearchStax Site Search solution Billing Information, pull down the Accounts menu in the upper-right corner of the screen. Select the Billing and Payments option.

This opens the Billing and Payments screen. Select the Billing Information option on the left side of the screen.

The Billing Contact is a person or entity who should receive a detailed receipt each time the account’s credit card is charged. The information entered here has no impact on the credit-card billing process. It is a reporting feature only.

This is where you can enter your Value-Added Tax number so it appears on your receipts.

Site Search > Administration > Billing and Payments > Payment Method

To view your SearchStax Site Search solution’s Payment Method (list of credit cards), pull down the Accounts menu in the upper-right corner of the screen. Select the Billing and Payments option.

This opens the Billing and Payments screen. Select the Payment Method option on the left side of the screen.

Entering your credit-card information ends your free trial and you will have to pay for your subscription.

You can enter multiple credit cards for an account. The most recently-added card will be the default payment method. (It has a green checkmark in the list of cards.)

To delete a card, click the Edit link in the upper-right corner of the list. This exposes delete buttons in the credit-card list.

Site Search > Administration > Billing and Payments > Order History

To view your SearchStax Site Search solution’s Order History (the apps and plans you have purchased), pull down the Accounts menu in the upper-right corner of the screen. Select the Billing and Payments option.

This opens the Billing and Payments screen. Select the Order History option on the left side of the screen.

The table shows the Plan, Term, Start Date, and Total Cost of the purchases you have made. This is an informational display only.

To view your SearchStax Site Search solution’s Invoice History, pull down the Accounts menu in the upper-right corner of the screen. Select the Billing and Payments option.

This opens the Billing and Payments screen. Select the Payment History option on the left side of the screen.

The table shows the Payment Method, Invoice Date, Total Cost, and a link to view the invoice in a new tab.

Site Search > Account Menu > Access Management

The SearchStax Site Search solution offers secure Access Management to tailor users’ permissions to the tasks they need to perform. For instance:

• Marketers want to see the usage data and be able to optimize the search experience to improve conversions.
• Developers need access to SearchStax UI Kits and APIs for website integration and for onboarding data sources.
• Executive stakeholders may want to see search trends and dashboards without the distraction of technical tools.

Access Management offers both compliance and security benefits to your Site Search project.

Site Search User Roles

Roles give Site Search users pre-set permissions appropriate to the missions of these users.

User Role	Description
Owner	The Owner has full control over all Site Search tools and activities. This is the only user who can create or terminate an account or transfer ownership to another user. The Owner can create and delete Apps. The Owner can add or remove users and assign roles to them. There can be only one Owner at a time.
Admin	An Admin has the same universal access as the Owner, but cannot create or terminate an account, nor transfer account ownership.
Developer	Owns the technical implementation of the search experience on the website, such as search fields, faceting, and ranking settings. Has access to APIs and JS Accelerators. Cannot create, terminate, or transfer ownership of the account. Cannot create or delete Apps. Cannot manage users. Can view Subscriptions but not the other Billing and Payment screens.
Marketer	Has full access to Analytics history. Performs day-to-day tuning of the website search experience through features such as auto-suggest, related searches, results configuration, stopwords, synonyms, spell check, promotions, and Smart Match Assist. Can view App Settings. Cannot change faceting, relevance, or ranking settings. Cannot view user or billing information.
Billing Member	The Billing Member can view subscription information, and has full access to the other Billing and Payment screens. This user cannot see any other part of the Site Search UI.
Team Member	The Team Member is a read-only role for executive stakeholders who want to monitor search analytics. Cannot view any other parts of the Site Search UI.

Managing Users

The account’s owner and administrators can manage the account users. This includes:

• Add a new user.
• Transfer ownership.
• Change a user’s role.
• Delete a user.

Add a New User

Go to the Account menu in the upper right corner of the SearchStax Site Search solution’s screen. Pull down the menu and select Access Management.

This opens a list of your team members, including a button for inviting a coworker to enroll as a team member. 

Inviting a team member requires only the person’s name, email address, and role assignment.

Once invited, the new member receives an email message asking them to follow a link to register a password securely. (Two-factor authentication and SSO are options.) After completing that step, they can use the new credentials to log into Site Search.

The Invite Status is “pending” for 24 hours. If the user does not respond to the invitation within that time, the Invite Status changes to “Expired.” To reinvite a user who missed the time limit, check the box beside their name and click the “reinvite” icon .

Transfer Ownership

The account Owner is the only user who can transfer ownership.

Go to the Account menu in the upper right corner of the SearchStax Site Search solution’s screen. Pull down the menu and select My Profile.

Click the Transfer Ownership button. This opens a dialog box.

Select the new owner from the droplist of available users and Save the result. The former owner becomes one of the account Administrators.

Change a User’s Role

Both the Owner and account Administrators can update user roles.

Go to the Account menu in the upper right corner of the SearchStax Site Search solution’s screen. Pull down the menu and select Access Management.

Click a user from the team list to open the User Profile.

Open the Role droplist and select a new role for the user. Be certain to Save the result.

Delete a User

The Owner and account Administrators can remove a user.

Go to the Account menu in the upper right corner of the SearchStax Site Search solution’s screen. Pull down the menu and select Access Management.

Locate the user in the team list and check the associated checkbox. Click the trashcan icon to remove the user from the account.

Site Search > Navigation Menu > Search App > Settings >

The SearchStax Site Search solution’s account Owner can delete a Search App (and subscription) at the touch of a button.

Navigate to the App Settings screen and select the appropriate App to delete. Click the trash can button. Site Search opens a dialog box for confirmation.

Note that App deletion cannot be reversed, and could involve erasing months of accumulated user data. Proceed with caution.
